Industrial products require more than standard pick & pack. They carry identity, tolerances and paperwork — and the buyer at the other end is an engineer or a maintenance team, not a consumer waiting for a parcel.

The problem

Why a general e-commerce warehouse struggles with technical stock

A high-volume e-commerce operation is optimised for one thing: moving large numbers of near-identical, low-value, uniformly sized boxes as fast as possible. Every process decision — from how goods are received to how a picker is measured — follows from that.

Technical products break most of those assumptions. Two units of the same article number are not interchangeable if one carries a serial number that has to be reported to the customer. A bearing that arrives with a damaged seal is not a cosmetic issue to be handled by the returns policy. A 40 kg valve does not travel in a standard parcel carton, and a spare part shipped without its declaration of conformity or test certificate is, for the receiving plant, unusable.

The result is familiar to anyone who has tried it: goods get received without being checked against specification, serial numbers are not captured, documentation is separated from the item, and the fulfillment partner discovers all of it only when the customer complains.

Photo documentation

Condition photographed at receipt, and on request at dispatch, so a damage claim rests on evidence instead of recollection.

Labelling

Article, barcode, customer-specific and country-specific labels applied before the item goes into stock or out the door.

Special packaging

Heavy, sharp, oily, long or fragile items packed appropriately — including crating and pallet build-up where a carton will not do.

Technical documentation

Datasheets, certificates, conformity declarations and manuals kept with the article and enclosed with the shipment.

Spare parts management

Low-turnover critical parts held ready for immediate dispatch, kept separate from fast-moving stock.

B2B shipping

Delivery notes, references, pallet dispatch and delivery windows appropriate to a receiving plant rather than a doorstep.

Returns inspection

Returned parts examined against your criteria before anything is restocked, so a failed part does not re-enter saleable inventory.

Kitting and set assembly

Can you record serial numbers on both receipt and dispatch?

Yes. Serial and batch numbers are captured when goods are booked in and recorded again against the outbound order, so each unit can be traced to the customer who received it. Tell us at onboarding which article groups this applies to.

Can you inspect goods against our own criteria rather than a generic check?

Yes. You define the inspection criteria — dimensions, connector types, finish, packaging integrity, whatever matters for that article — and we check against that list and report deviations before the goods are booked into saleable stock.

How do you handle heavy or oversized parts?

Heavy and oversized items are stored and picked according to their weight and dimensions, and shipped as palletised or crated freight rather than parcels. Tell us the heaviest and largest articles in your range in the quote request so we can confirm the handling before you ship anything.

What happens to technical documentation that arrives with the goods?

Certificates, declarations of conformity, test reports and manuals are kept associated with the article and enclosed with the outbound shipment, or sent separately, according to your instruction. Documentation is not discarded at receiving.

Do you inspect returns before putting them back into stock?

Yes, and this is deliberately not automatic. A returned technical part is examined against your criteria first. Depending on the outcome and your instruction it is restocked, held for your inspection, returned to you, or written off — but it does not silently re-enter saleable inventory.
